Terms:

• Direct Report – Alyssa Redding / Pastor Reshaun 
• Employment Type: Part-Time 
• Compensation: $18-20 
• Hours worked: Approximately 28-31 hrs /week 
• Special Events may require additional hours.
• Requested Commitment: Minimum 2-year term

Schedule:

NOTE: Hours outside of standard office hours may include but not limited to: special events (as needed), Welcome Dinners, conferences, memorials, and weddings.

Front Office:

Office space for: Front Office Coordinator, Worship Director/Executive Assistant, and Lead Pastor Michael have offices in this space.

Reception office:

Staffed by volunteers

Job Description:

We are seeking a Front Office Coordinator with a commitment to maintaining confidentiality and possesses strong organizational and interpersonal skills. The ideal candidate should demonstrate a love for diversity, be a friendly and collaborative team player, and exhibit an attitude of excellence in their work. The role involves managing office communications, coordinating staff meetings, overseeing various software applications, and managing volunteers for the “Front Office.”

Volunteers will maintain the reception office, whose purpose is to field all guests prior to receiving entry into the front office, answer phone and push calls forward, and assist the Front Office Coordinator by email stats, printing, cutting, running errands, etc.

Key Responsibilities:
Includes but not limited to…

Communication:

• Manage daily office emails and phone calls.
• Handle physical mail and create/send welcome letters to new congregants.
• Manage prayer requests and praise reports, ensuring timely communication to the pastoral team.

Scheduling and Itineraries:

• Make travel arrangements, reservations, and itineraries for visitors, ministry travel, and special events.
• Coordinate facility usage for various ministries, ensuring proper communication and approvals.

Calendar:

• Annual Ongoing Calendar Management: Maintains and updates Microsoft and Preaching Calendars (including retreats, events, holidays, and staff communications); ensures all scheduling details are accurate and consistent across platforms.
• Event Communication Coordination: Oversees all calendar-related communication (email, text, handouts, slides, Mailchimp, website, social media coordination, and staff notices) to keep teams and congregation informed.
• Graphics Planning Integration: Coordinates with Church Media (Josh Pralle) for event graphics 6–8 weeks in advance and ensures all events are created and current in Planning Center (minimum 3 months ahead).

Financial:

• Oversee benevolence forms and petty cash distribution.
• Organize weekly deposit counts, reconcile funds, and manage financial reports.
• Order and stock office supplies, ensuring availability for all departments.

Software and Database Management:

• Proficient in Microsoft Office 360, Church management software (CCB, PCO), and graphic design tools.
• Manage databases, including cleanups, mail merges, and volunteer credentials.
• Maintain and update member profiles, background checks, and authorization records in Community Church Builder.
• Create and import new services in PCO.

Other Duties:

• Facilitate office cleaning, doc creation, and printing, including thank-you cards, guest service booth items and assigned projects.
• Handle office errands, including purchasing and lunch pick-ups.

Coordinate Front Office Volunteers:

• Field phone calls, emails, and walk-ins for all pastoral staff and directors.
• Handle mail sorting and delivery, create address labels, and manage all office correspondence.
• Assist in creating, printing, and organizing various documents and materials.
• Laundry rotation and management.
